Frequently asked questions
Find answers to common questions about Over.Site.
What's the difference between OverSite and other workload management tools?
Where other systems focus on projects as standalone entities, OverSite stores the complete history of a site, from projects to support contracts, from uptime to performance, which allows program managers and domain controllers alike to view sites as part of something greater – and to leverage that data.
Why should I use OverSite?
OverSite was built with developers in mind. This means that we’ve taken key pain points for devs and integrated solutions into the system throughout. This is additionally the first system that was built with web agencies in mind – it allows you to track and manage not only your projects, but also the sites themselves. From prospect to go-live, uptime and even an integrated ticket system with tracked support contract usage, OverSite contains everything you need to manage websites for your client base.
I can see Lighthouse data whenever I want, what makes OverSite special?
At OverSite we track your lighthouse data automatically and store snapshots for you permanently. Over time, this will give a performance history of the site, which can be a valuable resource when demonstrating the effectiveness of a site refresh to a customer, for example, or to show that some reports are outliers.
What is OverSite?
OverSite is the first workload management tool built for web developers, by web developers, with their needs in mind. A comprehensive suite of tools such as task tracking, uptime monitoring and a fully functional ticket system mean that developers and project managers alike can benefit from the platform.
Who is OverSite for?
OverSite was built with developers in mind, but can be used by anyone. If you run or work for a web agency, OverSite is the tool for you. We also have many features that come as standard with most workload management tools, such as project tracking, task management and a ticketing system, as well as other features tuned for devs, like our site uptime tracker or our secure password vault.
How quickly can I get started with OverSite?
You can start right away – click here to sign up! The onboarding process only takes a few minutes and you can start adding your projects, sites, tasks, clients and more into the system immediately. We’re also working on an import feature to make this process even smoother – stay tuned!
Can I import data or information into OverSite?
Whilst this isn’t currently possible, it’s something our team is working hard on, so it’ll be available in a future update at no additional cost.
Can I migrate data from an existing CRM?
This is something we’ve chosen to push to a later release, but it’s a priority for us, so it’s definitely on the cards in the near future – watch this space!
Do I need a server?
No – when you sign up for OverSite, you’ll get your own secure, instanced workspace with initial storage for your contacts, sites, projects, and more.
Is OverSite secure?
OverSite is built with security in mind, from the login system to the secure password vault. We use state-of-the-art encryption and third party security partners with an impressive pedigree to ensure your data is kept safe. We’re also fully GDPR-compliant.
What does OverSite cost?
OverSite is free to use for individual developers, forever – we do have a premium option for teams, businesses and people who need access to features such as the planner, finance tracking and the password vault, which is starts at just £21 per seat per month.
How can OverSite save me money?
OverSite is a tool that can boost efficiency in your business and is a sound investment in any scenario. However, OverSite comes with a CRM system, a project management system, a website uptime monitor, a support ticket system, a task system, a visual planner, reporting, invoice generation and much more, so we believe that you could save a considerable amount if you used all of OverSite’s features in place of other subscription-based versions.
Is there a free trial period?
Yes, 14 days with NO credit card required. During that time, you get access to ALL the features of Over.Site and can invite colleagues to join. At the end of the trial, you can then carry on using the free parts forever, or carry on with all the features for a small monthly fee.
What is the right membership plan for me?
If you’re a freelancer who just needs a place to look after a few sites, the free model is for you. For larger teams or organisations, we’d recommend the business version to ensure you benefit fully from all we have to offer.
How do user licenses work?
User licenses are free, forever, and you get to create your own space and use basic features to enhance your workflows and manage your websites. You can also be invited to or create one or more team workspaces, which are charged on a per seat basis, so you’ll never pay for more than you need.
Can I change my OverSite plan?
Yes, you can always either upgrade to a business account, unlocking additional features, or downgrade back to a free account if you no longer need them. Downgrading won’t delete your workspace – it will instead be stored until you reactivate your subscription. Anything that’s available for free will always be available, whatever plan you’re on.
What happens if I cancel my subscription?
If you cancel your subscription, your workspace will be saved until the subscription reactivates. Although your team members will no longer be able to access it, you’ll be able to pick up where you left off at any time, and you’ll still have access to the free features on your personal workspace.
What happens if I remove a team member - do I lose their data?
No – everything done by your team member will still be stored, including the history. Under GDPR, if they request that their data be removed, their personal data will no longer be available, but the project they created or the site they managed will be unaffected.
Can I collaborate with team members on tasks?
Yes, absolutely, anyone on a business workspace will be able to collaborate with others. Tasks are currently individual, but can be assigned to anyone, allowing space for communication to flow, but we’re looking at having multiple owners for tasks in the future.
Where is my data stored?
Every instance of OverSite has its own database, completely separate from any others, with its own encryption and password. We store your data on our servers, which are backed up using the 3-2-1 rule (3 copies of your data, in 2 different types of storage, one in a different location).
Why do you archive data?
OverSite is unique, in that it stores a complete history of everything that happens to a site throughout its life cycle. Archiving means that you can still organise your data, but nothing is lost, unless you request a data wipe via GDPR for the workspace you own. We don’t store old passwords or any vault data once it’s deleted, but everything else is still available if needed.
What happens to archived data?
Archived data is moved to a special section of your workspace – it won’t take up real estate on your overview pages, so you can remove inactive items and organise your space, but you can always get them back at a moment’s notice by restoring them from the archive.
Is my data secure?
Absolutely – each instance of OverSite (as in, your subdomain) has its own database, separate from all others, with its own encryption and password. Data is never shared between databases and only you have access to the data stored on your individual database.
How do I know my passwords are secure?
We use a secure vault system based on VaultWarden, with both individual password-level encryption, organisation-level encryption and secure access only via the OverSite platform. There’s also cross-verification for any requests from anyone who is not the owner of a space, meaning that even if someone gains access to your account, they won’t be able to see any of the passwords in the vault.
How do I contact OverSite support?
Any member of a workspace will be able to contact us via email (support@over.site), using the in system support tool or by simply clicking the ‘bug’ icon to tell us of any bugs you find! We’re devs, we know they exist!
Do you take suggestions?
We love suggestions – user feedback is the lifeblood of our organisation, and we strive to cater to as many of our users’ pain points as possible. That’s why all of our business members will have the opportunity to vote on upcoming changes, shaping the direction of the OverSite platform, and our forums are a great place to submit suggestions too.
